The Project
Big Brothers Big Sisters is building a Matchforce based digital platform to facilitate safe and secure online communications between Bigs and Littles! Work is currently underway and the system will be available for use by all BBBS affiliates by mid-June, 2020.
For Now and the Future
Development of TheApp has been accelerated to meet the need for monitored digital match communication in the current time of social distancing and stay-at-home orders. However, TheApp is not intended to be merely a solution for match communications during the current COVID situation. Instead, it will serve as the foundation for expanded digital match programs into the future – including a full BBBS e-mentoring service delivery model to be developed in a future project phase.
Current Project Status (12 June 2020)
TheApp is live and is currently being piloted by 14 BBBS agencies. This pilot will run through the end of June 2020. TheApp will be made available for all BBBS agencies to use on 1 July 2020.
Features
One-to-one communication between Bigs, Littles, and BBBS staff
TheApp will allow Bigs and Littles to communicate directly with each other and BBBS staff via threaded messaging similar to that used on common internet blogs or Facebook. All communications will automatically be stored in Matchforce. BBBS staff will be able to easily access and review all communications made in the system.
Automatic keyword detection
TheApp will automatically scan communications for specified keywords and phrases and flag communications if any potentially concerning language is detected.
Activity logging
Bigs will be able to log the activities they do with their Littles and let BBBS staff know how their interactions with their Littles are going.
Broadcast announcements
BBBS staff will be able to easily broadcast announcements to Bigs and Littles in the system. Perfect for announcing events and activities.
Easy match sentiment recording
Bigs and Littles will be able to easily record how they are feeling about their match whenever they are in the system. BBBS staff will be able to quickly access this information in Matchforce to get a window into how matches are feeling in real time.
Frequently Asked Questions
Is TheApp intended to be used for only site-based matches?
No. TheApp can be used to facilitate communication between any type of match.
Are there plans to create interfaces between Matchforce and any other e-mentoring or digital communication platforms?
There are currently no plans to create interfaces between Matchforce and any other e-mentoring or digital communication platforms. TheApp is planned to be the only digital communication platform to link to Matchforce.
Is TheApp in compliance with Standards around site-based matches having electronic communication outside of on-site program time?
TheApp is consistent with the 2018 Standards and BBBSA’s service delivery model. There are no current prohibitions in either document surrounding mentors and mentees having phone or electronic communications when not on site. In fact, BBBSA’s Enhanced SBM best practice model from 2012 demonstrated that facilitating electronic or phone communications over the summer months between Bigs and Littles resulted in longer, stronger matches that were more likely to continue into the next school year. (It’s important to note that BBBSA’s Standards and Service Delivery Model DO prohibit IN-PERSON contact between SB Bigs and Littles outside of the facility where they meet.)
Is use of TheApp mandatory?
No. It is completely up to individual BBBS affiliates to determine if and when they will use TheApp.
Will TheApp continue to be available after COVID-19 social distancing rules are relaxed?
Absolutely! Although development of TheApp is being accelerated so it can be utilized as a solution during times of social distancing and stay-at-home orders, it is not a short-term fix aimed at only addressing the current situation. Instead, TheApp is intended to be a long-term use tool to kickstart exciting new ways for Bigs, Littles, Parents and agencies to connect utilizing technology.
How will BBBS affiliate staff be trained on how to use TheApp?
The project team is preparing training materials to help your agency introduce TheApp to staff and guide your thoughts around what policies and procedures you may want to put in place before you begin to utilize the platform. Along these lines, now is a great time to start talking with your Board about this opportunity, knowing that you may have policies and procedures you need to update when you choose to use the system.
How much will it cost for affiliates to use TheApp?
The cost to use TheApp will be contained in the current affiliate technology dues, and there is no plan to increase these dues in association with the introduction of TheApp.
How will affiliate staff monitor communications in TheApp?
All communications made via TheApp will be automatically stored in Matchforce and easily accessible for staff review. In addition, TheApp will automatically flag communications containing potentially concerning words and phrases and notify staff to ensure timely review.
If our affiliate chooses to use TheApp, will we still need to complete match support contacts?
Yes. While content from TheApp will be extremely helpful to staff as they prepare for match support and may help alleviate redundant conversations, it will not replace match support contacts.
